Who does what

  • Library / repository staff — capture metadata, upload PDFs, assign items to the correct department collection, keep existing sections filled.
  • Systems / developer — create new faculties, departments, collections, site pages, navigation, modules, and technical fixes. Ask them when you need a new section (new department, new content type, new faculty).

If a new staff member needs upload access, a Global Admin must create their user account and assign at least Site Admin (or Editor, if you later create that role workflow).

2. How to log in

  1. Open https://repo.msuas.ac.zw/admin
  2. Sign in with your university staff email account for Omeka.
  3. You should see the Admin dashboard (Items, Item sets, Sites, Users, etc.).

3. General upload steps (all sections)

  1. Go to Admin → Items → Add new item.
  2. Choose the correct Resource class (see sections below).
  3. Choose the correct Resource template when available (e.g. MSUAS RESEARCH PUBS for research papers).
  4. Fill in at least:
    • Title (exact publication/thesis/book title)
    • Creator / Author
    • Date (year)
    • Abstract / Description (recommended)
    • Publisher / Journal / Conference name where relevant
  5. Under Item sets (collections), select the department collection that matches the content type, e.g.
    Books – Department of Computer Science
  6. Open the Media tab → Upload → attach the PDF (or DOCX if that is all you have).
  7. Set visibility to Public unless the item must stay restricted.
  8. Click Save.

Important: Always pick the department and the content-type collection. Do not put a book into a Research Publications collection, and do not put a journal article into Books.

4. Research Papers / Publications

After saving the item (current site practice): open the department’s Research Papers page in Sites → MSUAS IR → Pages, edit the page, and attach the item/media in a Media block so it appears on that curated page (same workflow used for existing research papers).

5. Dissertations / Theses

In Description (or title supplement), include the parent book title, editors, publisher, and page range.

9. Quality checklist before Save

  • Title spelling matches the document
  • Authors listed correctly
  • Correct department collection selected
  • Correct content type (Research / Dissertation / Conference / Book / Book Chapter)
  • PDF opens after upload (test the media link)
  • Item is Public (unless restricted)
  • For Research Papers pages that use manual attachments: item attached on the department page

10. Requesting new sections (developer task)

Do not invent new faculties/departments/collections ad hoc in a way that breaks navigation. Ask the systems developer to add:

  • A new faculty
  • A new department
  • A new content type (e.g. Datasets, Patents)
  • Matching collections + public pages + menu links

When requesting, send: faculty name, department name, content types needed, and whether pages should be public.
